How to export your restaurant's data from Quandoo before it is gone
Restaurant partners can export their reservation data and guest lists until 31 December 2026. Quandoo has not published what the file looks like, so this guide tells you exactly what to ask for, in writing, and how to check what comes back.
Quandoo's own export guide is in its help section for restaurant partners. We could not open it from outside, so we do not repeat menu paths we have not seen.
Four things to get out, in this order
1. Every booking still ahead of you
Each one is a guest who expects a table. Ask for every reservation dated after today: date, time, party size, name, phone, e-mail, and any note the guest left. This list matters first because it has a deadline of its own — the evening of each booking.
2. Your guest list
Names and contact details of everyone who booked with you, with their visit history if the export carries it. It is the part of the system that cannot be rebuilt by hand, and the reason this page exists.
3. The record of who agreed to hear from you
If guests ticked a box to receive your newsletter, ask for who ticked it, when, and what it said. Without that record, a name on a list is not permission to send marketing.
4. What you would otherwise forget
Notes on regulars, no-show history, your table names and combinations. If the export does not hold them, write them down or take screenshots while you can still look them up.
How to ask, if you cannot export it yourself
Quandoo's UK page asks for questions about future bookings to go to service.uk@quandoo.com no later than 31 December 2026. A request in writing gives you a date and an answer you can point back to.
- 1
Say who you are
Your restaurant's name and address exactly as Quandoo had them, and the e-mail address your partner account used. That is how they find you.
- 2
List what you want, item by item
Upcoming reservations; the guest list with contact details and visit history; records of marketing consent (who, when, the wording); booking notes. One line each, so nothing is quietly left out.
- 3
Ask for a file you can open
A spreadsheet format, such as CSV or Excel, with one row per booking or guest and column headings. A PDF of a screen is a picture, not data — and the headings are what an import into your next system reads to tell the date column from the phone column.
- 4
Ask what happens to the rest
Ask Quandoo to confirm in writing what it keeps after the end of the year, and for how long. It has said it keeps data only as long as the law requires, then deletes or anonymises it.
- 5
Send it this week
Do not plan for the last week of December.
What format the file will be in
Honestly: Quandoo has not said in public. Its own notice and the trade press confirm that partners can export reservations and guest lists until 31 December 2026, and that its support team handles export requests to the end of the year. Neither names a file type.
One competitor's migration page advises asking Quandoo's support whether a CSV export is still possible, and warns that it may not be. We could not confirm either way with Quandoo, so ask early and ask in writing. Another competitor suggests exporting the floor plan too and warns that support is not guaranteed after 1 October 2026 — one more reason to ask now rather than in December.
Whatever arrives, open it on a computer the same day. Check that the number of upcoming bookings matches what you expected, that phone numbers and e-mails are in their own columns, and that dates read as dates. If a column is missing, reply to the same thread while it is still open.
Whose data this is, and what that means for you
Your guests booked a table at your restaurant. In data-protection terms, the business that decides why and how personal data is used is its controller; a business that handles it only on another's instructions is a processor. Where Quandoo held your guests' details on your behalf, UK GDPR requires a processor, when its service ends, to delete or return the personal data — at the controller's choice. Asking for your guest list back is exercising that choice.
Quandoo also ran its own website for diners, so some guests will have had an account with Quandoo itself. How each kind of data was held is a question to put to Quandoo in your request; it is not one we can answer for it.
Once the file is yours, so are the duties that come with it. Keep it where only your team can open it. Use contact details to look after the bookings and the guests you have. Sending marketing is a separate question: under the ICO's soft opt-in, e-mail marketing without consent is allowed only to people whose details you got in the course of a sale or negotiation, about your own similar services, with a simple way to opt out offered at the time and in every message. If you cannot show that, or a recorded consent, do not put the list into a newsletter tool.
And then: bringing it into Slotora
- In Slotora, the file you exported goes into the import screen — CSV or Excel. Nothing about it is automatic, and that is deliberate: the screen guesses from the header row which column holds what, you confirm or change every match, and you see a preview before you import.
- Upcoming bookings arrive confirmed but without a table, so your host places each one on the floor plan. Past bookings become visit history, so a returning guest's visits and no-shows are right from the first day.
- Importing the same file twice adds nothing, and an import can be undone from its history if the columns were matched wrongly. If you would rather go through it with us, leave a phone number below and we help.
- Each guest's card then keeps collecting visits, no-shows and late cancellations. One guest's data can be exported for a data-protection request, and a guest can stop messages with one click.

Exporting from Quandoo: questions
What is the last day to export my Quandoo data?
31 December 2026, according to Quandoo's notice and the trade press. Do it now rather than in December.
Does Quandoo move my data into another system?
No. It has said it offers no direct integration or migration to another system. You get the file and take it wherever you go.
In what format does the export come?
Quandoo has not published one. A competitor advises asking whether a CSV export is still possible; we could not confirm it. Ask for a spreadsheet format in your request.
Can I e-mail my whole Quandoo guest list a newsletter?
Only to guests who consented, with a record of it, or who meet the ICO's soft opt-in conditions. Contacting a guest about their own upcoming booking is service, not marketing.
We are in Ireland. Does this apply to us?
We found no sign that Quandoo operated in Ireland. If you did hold a Quandoo account, the same steps apply, and so does the GDPR.
