Feature · Staff rota and time clock

A restaurant rota, and the hours that were actually worked

The rota says who should be in. The time clock says who was, from when to when, with the break they took. Slotora keeps the two side by side for every person and every week, and hands the hours to whoever does your payroll as a CSV.

Hours only: Slotora records the time worked and leaves the pay to your payroll.

Building the week

Put together by the owner or a manager, on the web or in Slotora's app.

Shifts by person and station

Each shift belongs to one member of staff — their own login — and to a station you name: the bar, the kitchen, the floor, the pot wash. One person never ends up with two shifts at the same time.

Past midnight

A bar shift from six in the evening to two in the morning is one shift, ending the next day, and the clocks going back in October still leave six o'clock at six o'clock.

Copy last week

Most weeks look like the last one. Copy it, then change the three shifts that differ. Anything that would clash with a shift already there is left out and counted, so you know what to sort by hand.

The time clock

  • Each person clocks themselves in and out on their own login, at the server's time — nobody types a time, so nobody rounds it.
  • Clocking out records the break that was taken, and the hours count the shift without it.
  • One person has one open card at a time: two quick taps at the door make one card, not two.
  • Everyone sees the week and who is in. Below a manager, a login sees only its own cards and its own hours.

When the card is wrong

Somebody forgot to clock out, or clocked in from the car park ten minutes early. A manager corrects the card, or adds the missing one, and the correction is stamped with who made it. The hours page and the CSV say “corrected by” on that line, so the person paid for those hours and the person who checks them see the same story.

The hours, for the accountant

The hours page shows each person's week: the hours on the rota beside the hours worked. Two CSV files leave from it.

Week by week

One line per person per week, with the hours in decimals — the summary most payroll providers and accountants ask for first.

Card by card

Every clocking: the day, in, out, the break, the hours and a note where a manager corrected or added the card. The detail you want when someone queries their pay.

In Great Britain the Working Time Regulations set eleven hours of rest between working days and a twenty-minute break in a day longer than six hours; Northern Ireland and Ireland have rules of their own. Applying them stays with the manager; the cards give you the evidence to check it. This is not legal advice.

Questions about the rota and the hours

Does Slotora work out wages or run payroll?

No. It records hours: the hours on the rota and the hours worked, with every correction and who made it. Your payroll provider or accountant works out pay, holiday pay, tax and National Insurance from the CSV.

Can staff clock in on a shared tablet with a PIN?

No. Each person clocks in and out on their own login, on their own phone or any device they are signed in on. The time is the server's, so it is the same whichever device was used.

Who can change the rota?

The owner and managers plan the week and correct the cards. Everyone else sees the week, who is in, and their own hours.

Do staff need their own login?

Yes, and they would have one anyway: every member of staff has their own Slotora login, invited by a link from the Team screen, and the rota is built from those logins.
