Feature · Guest profiles

A guest profile your restaurant did not have to type

Nobody at the stand has time to fill in a form about a guest. Most of the card writes itself from what happens — a booking, a visit, a cancellation, an evening they did not turn up — and the few things only your staff know, like the nut allergy, take a few seconds once.

Guest cards are included in the one price, with no limit on how many guests you keep.

On one card

Every visit

When they came, how many they were, and how long since the last time — so “we haven't seen you since the spring” is something the host can actually say.

What went wrong, counted

No-shows and late cancellations, each a number on the card. Cancellations you made are not counted against them.

The note from the call

“Wants the corner table”, “bringing a pram”: a free-text note on the phone booking, there for whoever seats them.

What only your staff can tell the card

Written on the guest card at the host stand, by whoever learns it — on the phone, at the table, at the door.

Allergies, diet and access

The coeliac, the shellfish allergy, the wheelchair that needs the table by the door. An allergy shows as an alert on every booking that guest makes, in the pre-service briefing and on the printed day sheet, so the kitchen hears it before the order does.

Tags and a favourite area

VIP, regular, corporate, or a tag of your own; and the area they like best — the window room, the terrace — so the host knows where to look first.

Birthday and anniversary

Kept on the card itself, not just on the one booking where they mentioned it.

Your online booking form has no allergy field, only an optional note whose hint mentions allergies. That note stays on the one booking; staff read it and put the allergy on the card, which is what raises the alert. Treat the card as a reminder for the floor, not a replacement for asking at the table.

The same person, once

  1. A regular rings

Start typing her surname or her number at the stand and her card comes up, with her visits and her record.

  2. She booked online last month too

Bookings from the online page and from the phone are matched to the same guest, and duplicates are merged automatically rather than piling up as three Sarahs.

  3. She arrives

The card is one tap from her table at the host stand, so the person on the door knows what the person on the phone knew.

Every card, in one guest book

The guest book lists every guest you hold a card for. Filter it by tag, by number of visits, by when they last came, by no-shows or by whether they agreed to hear from you; search it by name; export the list as a CSV. The mailing export holds only the guests who said yes to marketing, so the file you hand to your newsletter tool is one you are allowed to use. Slotora itself sends no marketing — it is a list, not a campaign tool. Tap a name in the list and that guest's card opens.

The guest book and GDPR requests, screen by screen

Her data, when she asks for it

A guest list is personal data, and UK and Irish data protection law gives each guest rights over it.

Export one guest

When a guest makes a subject access request, export everything held about that person from their card, instead of searching through a diary and three spreadsheets.

Erase one guest

Asked to be forgotten? Erase the guest from the same card. Open it from the guest book or from any of their bookings; the download and the erasure are there for the owner or a manager, not every login.

One-click opt-out

Every guest can opt out of messages with a single click, and the choice stays with their card for as long as you keep it.

Questions about guest profiles

Can staff record allergies on the guest card?

Yes. Allergies, dietary needs and access notes go on the card at the host stand. An allergy then shows as an alert on that guest's bookings, in the pre-service briefing and on the day sheet. A guest can mention one in the online booking's optional note, but that note stays on that booking; it is your staff who put the allergy on the card.

Can I send offers to my guest list?

Not from Slotora. Loyalty schemes and marketing campaigns are not part of the product. You can export the guests who agreed to marketing as a CSV and use it in your own mailing tool; nobody who said no is in that file.

Can I bring my existing guest list?

Yes, through your old bookings. Import the export file from your previous system — CSV or Excel — and its past bookings become visit history on the cards, so a regular arrives as a regular. Our guide on guest data and consent explains what you may carry across and what you may not.
