Who can do what: owner, admin and staff logins

What an owner or admin can do, what a staff login can see and do, how to give someone a login, and what happens when a team member leaves.

Every login has one of three roles. Owners and admins can do the same things in practice; staff logins are for the people who work the diary.

Owners and admins

Everything: settings, services and prices, the client book, reports, payments, refunds and fees, the change history of a booking, and the team itself.

Staff logins

  • See the dashboard, the calendar, their own working hours, notifications and Get help
  • See and work only their own bookings: approve, mark arrived, complete, no-show, cancel, reschedule, move to a colleague, take a payment at the counter
  • Change only their own hours, and block only their own time
  • Cannot open the client book, reports or settings, change a price, refund, charge a fee, or message guests

Giving someone a login

Under Team, press 'Create login' beside the person and set their email address and a password of at least 8 characters; they get an invitation by email. In the app it is 'Give them a login': you enter the email address and they choose their own password. Every login made this way is a staff login — there is no screen for making someone an admin.

When someone leaves

'Deactivate' stops their login at once and keeps their bookings; 'Activate' brings them back. 'Remove' takes them off the team — someone with past appointments is archived, so the history stays. The app can deactivate but not remove.

May we measure which pages actually help? “Accept all” also lets us measure our own adverts.

What exactly does this mean?

We'd like to use Google Analytics to see which pages help and which don't, and to remember which poster, flyer or message of ours — or which salon's recommendation — brought you here. Accept all also allows a Meta advertising pixel, so we can tell which of our own adverts brought a salon that signed up — and if you create an account, our server sends Meta your email address scrambled (hashed), never as readable text, with your IP address, your browser's details and Meta's own cookie ids — never your name — purely so it can recognise that the sign-up came from an advert. None of this runs on a salon's own booking page. Everything the service itself needs works either way. Cookie Policy
