Changing a booking's price or adding extras: when the client pays more or less

Add an extra to a visit, or change its price up or down, from the booking's payment summary — the limits, who can do it, and what happens at the counter when more is paid than owed.

Plans change in the chair: a root colour becomes a full colour, a cut gets a treatment on top, a regular gets a friendly discount. You can change what a booking costs after it was booked, and the balance to collect follows on its own.

Where to find it

Open the booking and look at its Payment summary. Owners and admins see two buttons there: 'Add a line' and 'Change price'. It works on the web, and in the Slotora app from version 1.0.21.

Add a line

  • Press 'Add a line', write what was added (for example 'Cut') and the amount, then press 'Add to the bill'
  • The booking's price goes up by exactly that amount, and the line appears in the Payment summary with a 'Remove' button beside it
  • A line is a name and an amount. It is not picked from your service list, and it does not make the appointment any longer in your calendar
  • 'Remove' takes the line and its amount off again — but never below what has already been paid

Change the price, up or down

Press 'Change price', type the new total and a reason — the reason is required, for example 'Full colour instead of roots' — and press 'Save the new price'. The price can go up or down, even to zero if nothing has been paid yet.

Never below what has been paid

The new price cannot be lower than what the client has already paid: a deposit taken online counts, and so does gift card value used on the visit. The screen tells you the lowest it can go. If the client should end up paying less than they already have, give the difference back first — a card payment with 'Refund payment' on the booking, while a cash or terminal payment recorded by mistake can be removed — and then lower the price.

Once there is an invoice, the price is fixed

When an invoice has been issued for the booking, or is being issued, the price can no longer be changed here and the screen says so. Correct it with a credit note in your invoicing program instead. If your invoices are issued automatically, marking the visit completed issues one — so change the price before that.

When more is paid than is owed

At the counter, if an owner or admin records more than the balance, Slotora asks instead of refusing: raise the price by the difference and record the payment? Press 'Raise the price and record' and the difference goes on the booking as a new line — called 'Additional service' unless you type a better name — and the new price and the payment are saved together. The app asks the same from version 1.0.21; it needs a connection, and when you take a card in the app, add the line first and then take the card.

Good to know

  • Only owners and admins can add a line or change a price. A staff login cannot, and at the counter it is still told the amount is more than the balance
  • Cancelled bookings and no-shows cannot be changed
  • Every change is kept in the booking's change history: the old and new price, the line, and the reason
  • The client is not emailed when the price changes
  • Reports count the new price as booked revenue; what was actually paid is counted as collected

May we measure which pages actually help? “Accept all” also lets us measure our own adverts.

What exactly does this mean?

We'd like to use Google Analytics to see which pages help and which don't, and to remember which poster, flyer or message of ours — or which salon's recommendation — brought you here. Accept all also allows a Meta advertising pixel, so we can tell which of our own adverts brought a salon that signed up — and if you create an account, our server sends Meta your email address scrambled (hashed), never as readable text, with your IP address, your browser's details and Meta's own cookie ids — never your name — purely so it can recognise that the sign-up came from an advert. None of this runs on a salon's own booking page. Everything the service itself needs works either way. Cookie Policy
