Send your invoices to Xero automatically
Connect your own Xero organisation so every paid or completed booking becomes a proper invoice in your accounts — your numbering, your VAT, your accountant's usual view.
Slotora doesn't issue invoices itself. It sends the details of the visit to your own Xero organisation, and Xero produces the invoice. Setting it up is a one-off job of about fifteen minutes, and after that you needn't think about it again.
1. Create your own Xero app
- Go to developer.xero.com and sign in with the same login you use for Xero
- Open 'My Apps' → 'New app'
- Give it a name (Slotora is fine), choose the 'Web app' integration type, and put your own website in the company URL field
- In the redirect URI field paste exactly: https://slotora.io/api/invoicing/xero/callback
- Create the app, then open its Configuration page: copy the Client id, click 'Generate a secret' and copy that too — Xero shows a secret once and never again
2. Paste the two values into Slotora
- Open Invoicing in the left menu
- Set Provider to 'Xero (United Kingdom)'
- Paste in the Client ID and the Client secret
- Sales account code: the revenue account your sales are coded to. Xero's UK default is 200 — leave it unless your chart of accounts says otherwise
- Tax type code: leave it empty unless your organisation uses its own rate. The UK standard rate is OUTPUT2
- Click 'Save invoicing settings'. Your keys are stored encrypted and never shown again — only the last few characters, so you can see they're there
3. Connect your Xero organisation
Now click 'Connect Xero'. Xero asks you to choose the organisation and to allow access to invoices and contacts. Say yes and you land back on the Invoicing page with 'Xero is connected.' You can check it any time with 'Test connection'.
4. VAT, numbering and language
- VAT treatment: 'Exempt (not VAT registered)', 'Standard rate' with your rate, or 'Exempt activity'
- Your prices already include VAT, so the net figure and the tax are worked back out of the price the client actually paid
- Invoice number prefix: optional, and it has to exist at Xero already
- Invoice language: follow the client's own language, or fix it to one
Automatic, or one at a time
Tick 'Issue invoices automatically' and an invoice is created when a booking is paid, and when a visit is marked completed. Leave it off and you issue by hand: open the booking and click 'Issue invoice'. Either way the invoice is created in Xero as approved, and Slotora pulls back the number and the PDF so you can open it from the booking or from Invoicing → 'Issued invoices'.
When Xero rejects an invoice
- The booking shows a red 'Failed' badge with Xero's own message underneath. Nothing else breaks — the appointment, the payment and the client's emails are untouched
- The usual causes are a sales account code that doesn't exist in your chart of accounts, or a tax type your organisation doesn't use
- Fix the setting, then click 'Try again' on the booking
- If the message is about your credentials, generate a new secret in Xero, save it in Slotora and click 'Reconnect Xero'
- To cancel an invoice that was already issued, use 'Void' on the Invoicing page — it's voided in Xero too
What we need from you
- Your Xero app's Client ID
- Your Xero app's Client secret
- The redirect URI set in Xero to exactly https://slotora.io/api/invoicing/xero/callback — the connection fails without it
- Your sales account code and tax type code, if they aren't Xero's UK defaults
- One click on 'Connect Xero' to approve the organisation. We never see and never need your Xero password
