Take payment at the counter: cash, your own card machine, or a QR code

Every booking shows what the client still owes. Record cash or a payment on the card machine you already own — or show a QR code they scan and pay on their own phone.

Not everything gets paid online. Most visits end at the counter — with cash, with the card machine you already have, or with the client tapping their own phone. Slotora works out what is still owed and keeps a record of every penny that comes in, whichever way it arrives.

Where to find it

Open the appointment (Calendar → tap the booking) and look for the 'Payment summary' panel. It's there for every salon, whether or not you take card payments online.

How the balance is worked out

  • Service price — the price on the booking
  • Coupon discount — shown on its own line, and already taken off the price
  • Gift card applied — anything redeemed against this visit
  • Paid so far — a deposit or a full payment already taken
  • Refunded — money you've handed back, so it's owed again
  • Covered by pass — a session pass pays for the visit outright, so nothing is due

The bold figure at the bottom, 'Balance to collect', is what to ask for. It never goes below zero: if someone redeemed a gift card worth more than the visit, the change is a refund, not a minus number on your screen.

Cash, your own card machine or a bank transfer

  • Click 'Mark as paid'
  • Under 'How was it paid?' pick Cash, Card (own terminal) or Bank transfer
  • The amount is filled in with the outstanding balance — change it for a part-payment (you can't record more than is owed)
  • Add a tip if there is one: tap 10%, 15% or 20% of the service price, or type an amount. Tips are kept separate from the bill, so a generous client never makes a half-paid visit look settled
  • Add a note if it helps, then click 'Record payment'

'Card (own terminal)' means the machine you already own — SumUp, Zettle, your bank's terminal. Take the payment on the machine exactly as you do today, then record it here so Slotora's figures match your takings. That money never touches us and we charge nothing for it.

Let them pay on their own phone (QR code)

If you've connected Stripe, click 'Request payment' and Slotora shows a QR code for exactly the outstanding amount. The client scans it with their phone camera, a Stripe payment page opens on their phone, and they pay by card, Apple Pay, Google Pay or Link. No card machine, no app, nothing to buy.

  • The link sits under the code: 'Copy' it into a text message, or press 'Send it by email instead'
  • The link stops working after two hours — press the button again for a fresh one
  • Press it again while the same amount is still owed and you get the same code back, so a client can never pay twice
  • The moment they pay, the booking is marked paid and the balance updates on its own
  • If nobody can be charged yet, the panel says why in plain words — for example that a team member hasn't finished her Stripe setup

Receipts, and putting mistakes right

  • Clients with an email address get a receipt automatically for every payment you record
  • Typed the wrong amount? Owners and admins can 'Remove' a cash, terminal or transfer payment — it stays on the list, struck through, showing who removed it
  • A card payment taken online can't be removed, only refunded: use 'Refund payment' on the booking, for the whole amount or part of it

What we need from you

  • For cash, your own card machine and bank transfers: nothing at all — no account, no keys, no setup
  • For the QR code: a connected Stripe account (see 'Take card payments: set up Stripe step by step')
  • The client's email address on the booking, if you want them to get a receipt or the payment link by email
