Working with a booking: approve, arrived, completed, no-show, cancel and move

Every button on a booking and what it sets off — approving a request, arrival, completion, no-show, cancelling, moving to a new time or to a colleague — and what staff logins may do.

Open a booking from the calendar or the Bookings list. Which buttons you see depends on its status: 'Requested', 'Pending', 'Confirmed', 'Here', 'Completed', 'No-show' or 'Cancelled'.

The buttons

  • 'Approve this booking' — only on a request; the guest is emailed the confirmation. To turn a request down, cancel it
  • 'Mark as arrived' — on the day of the appointment; nothing is sent to anyone, and 'Not here after all' takes it back
  • 'Mark as completed' — loyalty points are added, the products the service uses come off your stock, and if your invoices are issued automatically, the invoice is issued. It cannot be undone
  • 'Mark as no-show' — frees the time; see 'When a client does not turn up'
  • 'Cancel booking' — with an optional reason. The guest is emailed in their own language, any gift card, pass or coupon credit is given back, and the waiting list hears about the freed time
  • 'Reschedule' — pick a new time and 'Confirm new time'; the guest is emailed
  • 'Move to' — give the booking to another team member who does the service
  • 'Send the pre-appointment form' — for an upcoming booking whose form is not filled in yet

Undo

On the web, cancelling, marking a no-show, or dragging a booking to a new time in the calendar shows an Undo button for 15 seconds, and the emails wait until it has gone. The app asks you to confirm first instead.

Who can do what

Staff logins can use all of these buttons on their own bookings, and take a payment at the counter. Changing the price, refunds and charging a no-show or late-cancellation fee are for owners and admins, and so is the booking's change history.

What else is on a booking

The client's 'Before you start' box, the answers to your booking questions, the pre-appointment form once it is filled in, the photos the client added, and the Payment summary. There is no button to send the confirmation again.

May we measure which pages actually help? “Accept all” also lets us measure our own adverts.

What exactly does this mean?

We'd like to use Google Analytics to see which pages help and which don't, and to remember which poster, flyer or message of ours — or which salon's recommendation — brought you here. Accept all also allows a Meta advertising pixel, so we can tell which of our own adverts brought a salon that signed up — and if you create an account, our server sends Meta your email address scrambled (hashed), never as readable text, with your IP address, your browser's details and Meta's own cookie ids — never your name — purely so it can recognise that the sign-up came from an advert. None of this runs on a salon's own booking page. Everything the service itself needs works either way. Cookie Policy
