Emails to your guests: which one goes when, and how to add your own words

Every email Slotora sends your guests on its own — confirmation, booking request, reminder, new time, cancellation, waitlist — when each goes out, and how to add your own words, font and text size.

Slotora emails your guests on its own, in their own language and in your colour. Emails in the left menu shows each one exactly as the guest will see it, and the list at the top, 'Which email your guests get, and when', says when each one goes out — worked out from your own settings.

Which email goes when

  • Booking confirmation — as soon as a guest books, after the payment goes through if you take a deposit; also when you add a booking yourself and the guest has an email address. In approval mode, when you accept the request
  • Booking request received — only in approval mode: straight away when a guest sends a request, before you accept it. It tells them it is not a confirmation yet, and it never carries your confirmation text
  • Reminder — as many hours before the appointment as you set under Settings → Messages to guests; not sent while reminders are off, or while they go by text or WhatsApp only
  • New appointment time — when you move the booking, in the calendar or the app, or when the guest moves it with the link in their email
  • Cancellation — when you or the guest cancels; a reason you give is included
  • Waitlist notice — when a place frees up on a day the guest is waiting for

Adding your own words

Under each email, press 'Customise this email'. You can set the subject, a personal message under the title and a closing line — all optional: leave one empty and the built-in text is used, in the guest's language. You can use {name}, {business}, {service}, {when} and {price}, and simple formatting: *bold*, _italic_, __underline__ and [link text](https://…). 'Reset to default' takes it back. In approval mode, the 'Booking request received' message is the place for how to pay a deposit by bank transfer.

Font and text size

'Font and text size' at the top applies to every email you send: a classic, sans-serif, serif or system font, and small, standard or large text. Only fonts already on your guests' devices are offered, because Gmail and Outlook remove web fonts.

In the app

The app has an Email templates screen for the same texts, with 'Booking request received' there from version 1.0.19. The list of when each email goes out is on the web.

May we measure which pages actually help? “Accept all” also lets us measure our own adverts.

What exactly does this mean?

We'd like to use Google Analytics to see which pages help and which don't, and to remember which poster, flyer or message of ours — or which salon's recommendation — brought you here. Accept all also allows a Meta advertising pixel, so we can tell which of our own adverts brought a salon that signed up — and if you create an account, our server sends Meta your email address scrambled (hashed), never as readable text, with your IP address, your browser's details and Meta's own cookie ids — never your name — purely so it can recognise that the sign-up came from an advert. None of this runs on a salon's own booking page. Everything the service itself needs works either way. Cookie Policy
